👋 Hey there,

Got customer reviews but don't know how to respond?

This prompt creates responses that build trust and show you care.

The Feedback Response Prompt

Generates thoughtful replies to positive and negative feedback.

📋 THE PROMPT:

Write responses to customer feedback for [PRODUCT/SERVICE].

Response context:

  • Feedback type: [POSITIVE REVIEW/NEGATIVE REVIEW/FEATURE REQUEST/BUG REPORT]

  • Platform: [GOOGLE/TRUSTPILOT/APP STORE/DIRECT]

  • Customer comment: [PASTE THEIR FEEDBACK]

  • Your resolution: [WHAT YOU DID/WILL DO]

  • Timeline: [WHEN IT'S FIXED/IMPLEMENTED]

Generate responses for different scenarios:

Positive Review Response

  • Thank them genuinely

  • Mention specific thing they praised

  • Invite continued engagement

  • No generic "thanks for the review"

  • Keep it personal

Negative Review Response

  • Acknowledge their frustration

  • Apologize sincerely (if you're at fault)

  • Explain what happened (briefly)

  • State what you're doing to fix it

  • Offer to continue offline

  • Provide contact info

Feature Request Response

  • Thank them for the suggestion

  • Acknowledge the need

  • Explain if/when it's coming

  • Or why it's not planned (honestly)

  • Offer workarounds if available

Bug Report Response

  • Confirm you've received it

  • Thank them for reporting

  • Explain status (investigating/fixed/scheduled)

  • Provide timeline if possible

  • Offer compensation if major issue

Constructive Criticism Response

  • Show you're listening

  • Take it seriously

  • Explain your perspective (not defensively)

  • Share how you'll improve

  • Thank them for caring enough to share

For each response:

  • Use customer's name

  • Address specific points

  • Be human, not corporate

  • Take responsibility

  • Show appreciation

  • Offer next steps

Tone: Professional but warm. Humble but confident. Accountable, never defensive.

🎯 HOW TO USE IT:

  1. Set up review monitoring

  2. Respond within 24-48 hours

  3. Personalize each response

  4. Follow through on promises

  5. Track sentiment over time

💡 PRO TIP: Responding to negative reviews isn't about changing that person's mind - it's about showing future customers how you handle problems. Others are watching. Show them you care and take accountability.
